What is Property Management?

Property Management is much more than security control, facility administration, environmental management and traditional customer service. Property Management entails the management of owner expectations, which vary with individual objectives. We assist you in balancing these objectives and expectations with legislated requirements, physical demands of the property and financial health of the corporation. Our task is not easy but as a team working with the Directors, our joint accomplishments are satisfying and financially rewarding.

In the Beginning

When ComField comes to your community, the ComField Management Team works from a value-added perspective that positive energy creates constantly improving results:

» A Senior Property Manager will be assigned to your development and will have overall responsibility for the property
» A Property Manager will be assigned to ensure that the day-to-day work is performed and reports to the Board of Directors.
» Evaluate all systems (property management, financial, security, personnel, and maintenance) on site.
» Audit resident relations and recommend improvements in management, security, maintenance, and community development.
» Enforce the terms of Condominium Act 1998, the Declaration, By-Laws, and Rules
» Administrative Staff at ComField’s Corporate Office maintain the Corporation’s record and/or responds to routine requests from owners/residents.
» Head Office Accounting Staff record and prepare financial statements and records for reporting on a monthly cycle.
» Specialized services can be arranged on an as needed basis

Financial Management and Responsibility

» Accounting records are kept on Yardi Accounting Software available online or at ComField corporate offices.
» Monthly Accounting Reports include: Balance Sheet, Income & Expense Statement, Statement of Budget Vacancies, Cash Flow, Delinquency, Investment Reserve Fund, Cheque Registry and Manager’s Notes.

Accurate and secure accounting records are extremely important to your corporation. Accounting services is a demonstrated strength of ComField and is characterized by:

» Common Element delinquencies and lien proceedings are pursued energetically.
» Cheques may be signed by Directors only, or by a designated Director and a Senior ComField Executive.
» Work with the Treasurer and your Board to conclude the annual budget.
» Adjust Common Element Fees according to the Budget and Reserve Fund Study.
» AGM Package is presented in a timely and professional manner.
» Statements are complied by the Property accountant and checked by the Comptroller and Property Manager before the presentation to the Board of Directors.

» Yardi Accounting Systems – one of the most widely used property management/accounting software systems in North America.

Communication Support

Communication among and between ComField, your Board of Directors and owners/renters is key to a well functioned condo community. Communication is facilitated by:

» The ComField 24-hour/7 day emergency call centre
» The ComField Internet Network – www.comfield.ca and info@comfield.ca
» Providing a website for your building (which may include advertising, notices, newsletters, minutes, condominium documents, surveys, etc.) at a nominal cost.

Maintenance Management

Careful attention to preventative maintenance systems will save you money. ComField’s service is characterized by:

» Monthly Site Inspection Reports include recommended improvements and proposals for timely preventative maintenance.
» Weekly inspections to maintain the up-keep of your building.
» Preventative maintenance of programs for all of the major building components.
» Contractor relations and contract management are all managed with integrity and on a timely basis.
» ComField’s purchasing power will reduce the cost of routine supplies and services.
» Local supplies are encouraged to eliminate costly overhead of large corporate providers.

Managing Corporation Staff

Staff turnover is costly and inconvenient to the owners. ComField works to reduce risk by:

» Providing a Monthly Personnel Report included employee evaluations and development focus.
» Recommending behavioral changes according to the Ontario Labour Relations Act and Employment Standards Act to increase productivity.
» Staff retention through up-to-date job descriptions and annual performance reviews with realistic recommendations for your corporation.
» Arranging for timely replacement of staff when they are scheduled off or unable to meet the daily staff requirements.

Security

Security is key to the comfort of and confidence of the owners/renters. ComField’s service includes:

» Reviewing Standing Orders on a daily basis
» Security systems such as CCTV, computer access card system
» Reviewing breaches of security on a daily basis and adjusting the security response
» Professional security and parking patrols can be arranged and maintained.
» Monitoring entry to units in accordance with the Condominium Act 1998.
» Execute fire drills according to the Ontario Fire Code.
» Securing duplicate keys in locked cabinets.
» Encouraging the community to be aware of the activities at the property and to report unusual incidents.

Emergency On-Call Response

» ComField Representatives can be reached on a 24-hour/7-day basis.
» All Building Staff is updated regularly on emergency procedures.
» Emergency On-Call log is provided to all after hours emergency staff for quick and clear response. 

Board Meetings

Meetings are supported by the Property Manager to set clear and timely deadlines; the process is facilitated by:

» Providing a clear, concise Management Report that is action oriented.
» Information is provided to enhance decisions, not to confuse or prolong the process.
» Understanding that Board members are volunteers whose time is precious and must be respected as such.
» Reports, information must be reported in advance of decision with time for further investigation.
» The AGM process must be started well in advance of the meeting date to ensure the important participation of the owners.
